German Speaking PA

Our prestigious client based in the West End of London is looking for an exceptional German speaking Executive Assistant to support senior management including an MD and a Director.
The ideal candidate will be bilingual in German/English, have a highly Pro-active approach to duties as well as being a self-motivated EA. Candidates should also be resourceful with a can-do, flexible attitude. Flexibility with regards to changes in priorities, schedules and tasks is essential
Ability to assertively, efficiently and calmly multi-task and prioritise.
Attention and care for detail is also a pre requisite


The role is varied and requires a German speaking Assistant who also has advanced MS office skills. The duties include :

Providing proactive and efficient assistance and secretarial services to Managing Directors and a Director of the European Fund Management team, supporting them in most effectively working to pursue the goals of the team.

RESPONSIBILITIES
Diary management and coordination, including liaising with internal and external contacts.
arrange meetings, conference calls, seminars, etc.Monitoring incoming English and German email traffic and alerting recipient of details as required. Travel and accommodation booking: proactive research and presentation of options, using
initiative to anticipate requirements and look for optimal cost-effective solutions.
Compiling and managing expense reports and process using on house system
Organising quarterly off-site investor meetings: coordinating venue, room bookings, menu, etc.
Screening calls and placing calls to internal and external contacts, with an appropriate
developed appreciation for importance and priority (e.g. internal hierarchy, major clients).
Checking, arranging and formatting documents including memos, reports and presentations
with a perfectionist's care for detail.
Assisting fund team with investor reporting and investor communications as directed; responsible for the administration of online investor reporting portal and maintain investor details.
reparation of attractive presentation materials and charts from draft content provided.
Drafting correspondence where required, including taking dictation.
General typing (including minutes and handwritten notes), copying, printing and binding.Maintaining address books and an effective filing system of correspondence.

Hours are 9:00am to 6:00pm Monday to Friday. Occasionally, irregular hours may be required and flexibility with regard to arriving before
