Office Administrator

Our client is a law firm located in Paris, London and Washington DC.

Responsibilities

Reporting to the Office Manager you will ensure the efficient and effective running of the Paris office on a day-to-day basis.  You will take responsibility on operational and administrative tasks, whilst also ensuring the office is appropriately organized as a high-quality working environment for all.

  • Legal & Finance Support - Draft contracts and letters using available templates.  Provide administrative help to self-employed lawyers.  Act as a liaison/point of contact for the global finance support team as needed.
  • Front office – Responsibility for reception including the setting up and clearing meeting rooms, booking meals for meetings, checking food and stationary stocks etc.
  • Risk management & compliance – Assist with new business intake procedures on behalf of fee earners including completing new client and new matter forms and circulating as necessary.  Assist with local regulatory and risk management requirements as may be required.
  • HR Support - Maintain employee folders saving all relevant documents.  Schedule systems training.  On first day, ensure employees complete documents as required. Order badge and employee book.  Ensure other departments are aware of departures as appropriate.  Update holiday chart and any other local documents as necessary. Update holiday and sickness chart, so that it is up to date. 
  • PA Support  - Provide an exceptional organisational, administrative and legal support to the Partner in the office including; covering for PAs when they are absent on sick leave or holidays, providing secretarial support to senior lawyers’ day to day, Travel arrangements, staff expenses and printing, etc.

Qualifications

  • Perfectly bilingual in French & English.
  • Experience of working on an Administrative/Assisting position.
  • Experience within an international environment. 
  • Ability to prioritise own workload in order to juggle conflicting demands and meet deadlines.
  • The ability to communicate clearly and effectively, both orally and in writing.
  • Proficient in Microsoft Office programmes.

Office hours: 9:30-18:00 (17:30 on Fridays)

Salary: 30-35k€ + bonus + prime + Advantages (11 days RTT, Lunch Vouchers, Mutuelle)
